Why You Need Systems in Place – And Why the Time to Start is Now

Running a business often feels like juggling a thousand tasks, and creating systems might seem like just another thing to add to your already packed to-do list. But if you’ve ever felt overwhelmed or like you’re the only one who can handle everything, it’s time to think about creating systems—especially documentation.

Systems: You Already Have Them, But Are They Working for You?

You might think you don’t have systems, but the truth is, you do! Every time you perform a task, answer a customer query, or fulfill an order, you’re following a process. But just because you have systems doesn’t mean they’re efficient, automated, or easy to delegate. That’s where documenting your processes and creating a blueprint for your business comes in.

Why should I bother?

With everything happening in your business, why should you create documentation or SOPs (Standard Operating Procedures)? Because SOPs help with:

🔑 Consistency: Ensures that your processes are followed the same way every time.

🔑 Efficiency: Saves time by avoiding the need to explain tasks repeatedly.

🔑 Scalability: Makes it easier to onboard new team members and delegate tasks.

The Power of Documentation

You can start by creating a written version of what you’re already doing. It doesn’t have to be perfect—just something to reference, update, and eventually streamline. This documentation will help you spot areas that need improvement, see where automation can save time, and prepare to delegate tasks.

Some simple tools can make it easier than you think. Google Docs or Notion are great places to start. They’re easy to use, searchable, and accessible from anywhere.

With basic documentation, you have a foundation to build on. As your systems develop, you can refine them and introduce more advanced tools like make.com, Pipedream, or Zapier to automate repetitive tasks. The goal is to streamline your business so that it works for you, not the other way around.

A Success Story: Abi’s Automated Business Growth

Take my client Abi, for example. When she first came to me, she managed everything with just one VA and minimal documentation. Now, with a team and clear systems, she’s grown her business while reducing her workload. Here’s a snapshot of how systems helped her scale:

  • Integrated Sales & Communication: Abi’s Squarespace sales automatically tag customers in Mailchimp, sending out Zoom links for the groups she hosts.
  • Streamlined Workshop Management: Using forms, she captures participant info and sends out letters of recommendation through a semi-automated process. A PDF with their details is sent directly to their inbox.
  • Inbox Automation: Frequently asked questions are handled by an automated email reply, reducing time spent answering the same inquiries.

By documenting and automating, Abi more than doubled her income and built a business that no longer requires her constant presence.

How to Create Your SOPs (Step-by-Step)

If you’re wondering where to start, here’s a simple approach to get you going:

  1. Make a List: Write down everything you do in your business that’s repetitive. This could be anything from onboarding clients to sending invoices.
  2. Identify Priorities: Look for the tasks that are:
    • Mission-critical
    • Easy to delegate (with documentation)
    • Tasks you don’t enjoy but still need to be done
  3. Start Documenting: For each task, begin documenting the steps. Even if you’re not automating yet, writing down the process is the first step to systematizing.
    1. Keep It Clear: Use straightforward language and break down tasks into manageable steps.
    2. Organize Wisely: Structure your documentation so it’s intuitive and easy to navigate. Think of it as a roadmap to success!
    3. Stay Flexible: Make sure your SOPs are easy to update. This way, you can keep them relevant as your business evolves.
  4. Use Tools to Capture Processes: Tools like Tango make capturing steps for online processes easier in real-time. From there, you can turn those steps into written SOPs.
  5. Consider Automation: Once you have the documentation, you can think about which tasks can be automated. For example, tools like Dubsado or SuiteDash can handle contracts and invoices, while Calendly helps schedule meetings and send reminders.

Can’t I just record videos?

Creating SOPs might seem like a one-and-done task, but fine-tuning them is a journey. So, while recording a video might feel like a breeze now, do you want to re-record every time there’s an update? Probably not!

So, let’s make life easier:

🔹 Tip A: Break it down into short, manageable clips (<90 seconds) that cover just one step at a time.

🔹 Tip B: Turn those videos into easy-to-update formats, like screenshots or text. Whether you use AI, screen capture software, or a bit of manual effort, it’s worth it!

Tools like Audiate, Descript, or Happy Scribe can easily turn audio into a transcription.

You can still keep the video as another reference, but it’s good to note somewhere that the official written SOP is the primary resource.

When is the Best Time to Create Systems? (Hint: Now)

There’s never a perfect time to start building systems, but the best time is RIGHT NOW. Waiting until you’re ready to delegate or repeat a task will only lead to more overwhelm. When you have clear systems, you can onboard team members with ease, maintain consistency, and prevent issues when unexpected tasks arise.

Creating systems allows your business to grow without you having to be involved in every tiny detail. The sooner you get your processes down on paper, the sooner you can streamline them and focus on what truly matters—growing your business.
